2. General Principles

We process personal data only where necessary to operate this website, provide the radio stream, measure consented website usage, receive music submissions, communicate with users, protect the website and comply with legal obligations.

Legal bases may include Art. 6 (1) lit. a GDPR (consent), Art. 6 (1) lit. b GDPR (pre-contractual or contractual communication), Art. 6 (1) lit. c GDPR (legal obligations) and Art. 6 (1) lit. f GDPR (legitimate interests such as secure operation and editorial review).

Where personal data is collected directly from you, this policy provides the information required by Art. 13 GDPR, including purposes, legal bases, recipient categories, transfers, retention and data subject rights.

3. Hosting and Server Log Files

This website is hosted through Hostinger and runs on WordPress. When you visit the website, server log files may be processed automatically. These may include IP address, date and time of access, requested URL, referrer, browser type, operating system and technical status codes. This is used for technical delivery, stability, troubleshooting and security.

Server log processing is based on Art. 6 (1) lit. f GDPR. Our legitimate interest is secure, stable and abuse-resistant operation of the website.

4. Cookies, Consent and Local Storage

Under Section 25 TDDDG, storing information on your device or accessing information already stored on your device generally requires consent, unless the access is strictly necessary to provide a digital service expressly requested by you or to transmit a communication.

The website may use technically necessary cookies or similar technologies for WordPress functionality, security, form submission, consent management and embedded services. Non-essential analytics or marketing-related technologies are intended to run only where a valid consent is present, where such consent is legally required. 5. Google Analytics

We use, or technically prepare the website to use, Google Analytics 4 to understand how visitors use the website and to improve content, navigation, performance and radio-related features. Provider in the EEA is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. Depending on configuration and consent status, Google Analytics may process usage data such as page views, interactions, approximate location, device and browser information, referrer URLs and technical identifiers.

Google Analytics is used on the basis of consent where required (Art. 6 (1) lit. a GDPR). You can withdraw or change consent at any time through the consent options provided on the website, if available.

According to Google, Google Analytics 4 does not log or store individual IP addresses. For EU traffic, IP address data is used for deriving approximate location information and then discarded before logging. Google may process data on servers outside the EU/EEA. Transfers may rely on adequacy decisions such as the EU-US Data Privacy Framework, standard contractual clauses or other safeguards provided by Google. Google Analytics data retention is controlled through the Google Analytics property settings. Details about the currently configured retention period can be requested from us.

6. Web Radio Stream and Audio Services

Kefalonication Radio streams audio through laut.fm. When you start the stream or open laut.fm-related links, technical data such as IP address, device information and usage data may be processed by laut.fm to deliver the audio stream.

The website may also link to or embed radio and music services such as TuneIn, Apple Music and Spotify. If embedded players are loaded or if you click external links, the respective providers may process personal data under their own responsibility.

7. Stream Distribution and External Radio Directories

The website lists stream distribution channels and radio directories, including laut.fm, TuneIn, radio.de, phonostar, myTuner Radio, OnlineRadioBox, Alexa/Amazon Echo, Sonos, Yamaha MusicCast, Denon HEOS, Bose Music Systems, smart TVs, smart radios, Android Auto, Apple CarPlay through supported apps and other radio aggregators. These entries are primarily informational or external links. If you use these services, their own privacy policies and terms apply.

8. Social Media Links: Instagram and Facebook

The website may link to Kefalonication Radio profiles on Instagram and Facebook. These services are provided by Meta Platforms. If you click a social media link or interact with our profiles on these platforms, Meta may process personal data under its own responsibility.

A live social feed from Instagram or Facebook is currently intended to remain disabled until the official tokens and privacy setup are complete.

9. Submit Your Track / Promo Submissions

Artists, labels or authorised representatives can submit promo details through the “Submit Your Track” form before uploading audio files. The form collects data such as artist/project name, contact person, email address, label/company, country, track title, genre/style, release status, ISRC where provided, collecting society information where provided, message text, rights confirmations, timestamp, technical browser information and a hashed IP value for documentation and abuse prevention.

The data is used to review music submissions, document rights confirmations, communicate with submitters, make editorial decisions and keep an internal audit trail. The legal bases are Art. 6 (1) lit. b GDPR for submission-related communication, Art. 6 (1) lit. f GDPR for editorial review and documentation, and Art. 6 (1) lit. a GDPR where a consent checkbox is used for processing.

Submission of a track does not guarantee airplay, feedback, playlisting or promotion. By submitting, the sender confirms that they own or control the master recording or are authorised to submit it, that they have the necessary composition/songwriting permissions, that the track contains no uncleared samples or third-party material that would prevent radio or online airplay, and that Kefalonication Radio may review and store the submission for editorial purposes. Ownership remains with the rights holders; statutory collecting society claims remain unaffected where applicable.

10. Dropbox Uploads for Promo Songs

After the promo form has been submitted successfully, the website opens a Dropbox upload option. Audio files are uploaded directly to Dropbox. A PDF receipt or confirmation record of the submission may be generated and stored internally and, where configured, uploaded to Dropbox for documentation.

Please upload only files that you are authorised to provide. Do not upload special categories of personal data or unnecessary personal information in audio metadata or filenames.

11. E-Mail Communication

If you contact us by email or through a form, we process the information you provide in order to respond to your request, review submissions or handle communication. E-mails and related records may be retained as long as necessary for the purpose of communication, legal documentation and legitimate operational needs.

12. Retention

Server logs are retained only as long as necessary for technical and security purposes unless a longer period is required due to incidents. Promo submission data and related rights confirmations may be retained for the editorial review period and, where needed for documentation of permissions or dispute prevention, generally up to the end of the regular limitation period unless a longer period is legally required or necessary for a specific case. If a submission is no longer needed, it will be deleted or restricted where legally and technically possible.

13. Recipients and Third-Country Transfers

Data may be processed by hosting providers, analytics providers, streaming providers, Dropbox, email providers, WordPress plugins and other technical service providers. Some providers may process data outside the EU/EEA. Where required, transfers are based on adequacy decisions, standard contractual clauses or other safeguards provided by the respective providers.

Recipient categories may include hosting and infrastructure providers, analytics providers, streaming platforms, music/radio platforms, Dropbox, email providers, WordPress plugins, IT maintenance providers and public authorities where legally required.

14. Your Rights

Subject to the legal requirements, you have the right of access, rectification, erasure, restriction of processing, data portability and objection. Where processing is based on consent, you may withdraw consent at any time with effect for the future. You also have the right to lodge a complaint with a competent data protection supervisory authority.
